SaaStr Annual is the world’s biggest SaaS event, traditionally bringing over 10,000 attendees to the Bay Area, so it takes a lot of planning and determination to pull it off when it’s in person. It takes even more planning and determination when in-person events are banned days before your event and you need to figure out how to re-create the best of the best content in SaaS...At Home.
Luckily, we’ve got both planning expertise and determination in spades, so when SaaStr asked for help transitioning speakers to digital, we were happy to oblige. Before SaaStr At Home began, we tackled everything from revising the content strategy to creating virtual speaker tips and best practices to upholding SaaStr’s content and diversity standards. And when the event kicked off, we were online with the speakers every step of the way to ensure a seamless experience.
MAKING SURE CONTENT MET THE BAR
To produce the most tactical and tangible content the SaaS industry has ever seen, SaaStr holds themselves to the highest content standards. We worked with every speaker to ensure that not only all content was original, but also that it was timely and relevant for adapting to working from home. We collaborated with speakers and their teams to produce revised topics and sessions, reviewing every speaker’s presentation to maintain SaaStr’s content guidelines.
ENSURING SPEAKERS WERE PREPARED
Similar to live events, details are crucial, and communication is key for a seamless transition. We tested and troubleshooted a new virtual platform to be certain we were equipped to prepare speakers and their teams. In addition, to help maintain a high level of professionalism and speaker comfort, we developed an extensive speaker prep webinar to walk all parties through the video platform and event experience. Since virtual speaking was new for some, we also shared tips and best practices to help speakers present effectively behind a screen. A speaker concierge at your service!
UPHOLDING DIVERSITY AND INCLUSION
SaaStr has committed to diversity and equality across their events. We were thrilled to collaborate with the brand to create a process that ensured we maintained diversity and representation across panels, content tracks, and days.
SUPPORT DAY OF THE EVENT
On the day of the event, our pre-prepared run of show guaranteed we had every detail and contingency plan down to the minute planned out and ready. Our team joined each session early to greet the speaker, perform video and mic checks, and review session logistics to ensure they were comfortable and ready to present. Once it was “go” time, we checked the settings and platform were ready before broadcasting and livestreaming to attendees. We also made sure every session operated without interruption.
How did it go? The results speak for themselves. Removing the barriers of travel and ticket cost that comes with live events enabled SaaStr to expand their audience base from tens of thousands to hundreds of thousands. In fact, SaaStr expanded its virtual event portfolio to offer additional virtual events throughout the year.
